Purchasing Coordinator
Job Summary:
The Purchasing Coordinator’s role is to conduct product research and source new suppliers and vendors. The responsibility is also to maintain records of all orders, payments, and received delivery of products and services.
Furthermore, this role serves a vital function for the NIST International School purchasing team by acting as the primary liaison for foreign academic staff. The coordinator will specialise in overseas procurement, academic book sourcing, and comprehensive travel and activity logistics for student field trips.
Responsibilities:
Conducting product research and sourcing new suppliers and vendors
Sourcing materials, goods, products, and services and negotiating the best or most cost-effective contracts and deals
Managing overseas procurement processes, with a heavy emphasis on sourcing and importing academic books and educational materials
Conducting market research to keep abreast of emerging trends and business opportunities
Collaborating daily with foreign teachers and academic departments to ensure precise understanding and fulfillment of their specific procurement needs
Updating and maintaining records of all orders, payments, and received delivery and services
Coordinating with the delivery team and following up on delays or orders that have been rescheduled
Researching and comparing flight options to secure safe and cost-effective travel
Managing all bookings for accommodations and student activities
Procuring specialized items, supplies, and equipment required for specific student field trips
Establishing professional relationships with school members as well as vendors and suppliers
All other tasks assigned by the Purchasing Manager
Qualifications:
Bachelor’s degree in Business, Logistics, or any related field
3 years of working experience in Purchasing
Proven experience handling overseas procurement, international shipping, and customs clearance processes
Experience in travel coordination, including flight comparisons, accommodation, and activity bookings
Proficiency in relevant management software programs
Good command of English in written and verbal in both communication & negotiation
Great organizational and planning skills
Ability to follow request specifications
Excellent networking and time management skills
Strong cross-cultural communication skills and a service-minded attitude
