Job Description

Reporting directly to the Partners, the Office Manager’s duties and responsibilities include scheduling meetings and appointments, making office supplies arrangements, and providing general administrative support to our Partners. Previous experience as a Front Office Manager or Office Administrator would be an advantage.

A successful Office Manager has experience with a variety of office software (email tools, spreadsheets and databases) and will be able to accurately and efficiently handle administrative duties.

Ultimately, the Office Manager should ensure the smooth running of the office, provide administration support to the Partners and help to improve the firms’ day-to-day operation.

Responsibilities

  • Serve as the point person for office manager duties including:
    • Suppliers
    • Equipment
    • Bill payments
    • Travel
    • Scheduling
    • Archiving
  • Schedule the Partners meetings and appointments
  • Organize the office and order stationery and equipment
  • Maintain office condition and arrange necessary repairs
  • Assist the Partners with execution of the firms’ recruitment strategy
  • Assist the Partners with the execution of the firms’ marketing strategy
  • Support the Partners with ad-hoc tasks as required
  • Assist in the preparation of and formatting of proposals, engagement letters and other corporate documentation
  • Maintain and administer the firms’ contracts and other archives
  • Organize office operations and procedures
  • Coordinate with service providers on all office equipment
  • Manage contract and price negotiations with office vendors, service providers
  • Assist in the onboarding process for new hires and administer HR of the firm
  • Liaise with facility management vendors
  • Plan in-house or off-site activities
Requirements
  • Proven experience as an Office Manager, Front Office Manager or Administrative Assistant
  • Knowledge of Office Management responsibilities, systems and procedures
  • High degree of proficiency in MS Office (Word, Power Point and Outlook, in particular)
  • Hands on experience with office machines such as photocopiers
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal English communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements
