Administrative Assistant
The ideal candidate will be a key person in our Thailand team responsible for the following key responsibilities:
Assisting GM ASEAN North
- Responsible for managing the GM ASEAN North’s calendar and travel management, including but not limited to Visa applications, processing of expense reports, and maintaining organised record keeping with strict confidentiality
- Coordinating and facilitating internal team meetings, offsite meetings/events, including but not limited to tracking of actions and outcomes where appropriate. In addition, when required, you will also provide assistance in areas of equipment orders, initiating purchase requests, ordering office supplies, event planning, timely processing and follow-up of outstanding invoices and maintaining filing system
- Any other ad-hoc duties as assigned
Admin Tasks:
- Provide general office administrative support in the areas of equipment orders, IT support, initiating purchase requests, ordering office supplies, timely processing and follow-up of outstanding invoices and maintaining general filing requirements
- Supporting and Facilitating Visitors with Hotel bookings
- Facilitating Oversea Travels for Thai Team – Flight Tickets, International call (roaming), Travelling Insurance, Provide documents by order (visa or etc.)
HR Tasks:
- Onboarding and offboarding new employees/contractors at the Thailand office – including managing business name cards, ICT Solutions (Laptop, Mobile phone , Phone number), Car park, Fleet card, Health Insurance etc..
- Payroll (including Provident & Social Security Fund), Health Insurance and HR info system administration
- Liaison with external suppliers for relevant admin matters
- Facilitating smooth takeover from employees leaving the company as part of the separation process
Requirements
- At least 3+ years’ relevant experience in an MNC is strongly advantageous
- Relevant tertiary education or industry qualifications
- Strong organisational skills, with good verbal and written communication skills in English and Thai.
- Ability to multitask and work within deadlines
- Ability to work independently with a high level of service orientation while maintaining strict confidentiality, with experience in the management and implementation of multiple projects
- Strong MS Office skills including Powerpoint, Outlook, Excel and Word
