Job Description

We are seeking a Sports Administration Assistant who will be responsible for providing administrative support, organisation and coordination to the Sports Department and will ensure that all activities are smoothly arranged and documentation within the office is stored and filed correctly and promptly.

Main Duties and Responsibilities:

  • Provide administrative support in all tasks in the department of sports
  • Update the sports website daily and ensure that the site and that all information is correct
  • Coordinate with internal and external coaches on sports fixture arrangements
  • Provide all aspects of administration for sports fixtures with other schools
  • Inform all relevant members of the community in good time, including but not limited to, report results to students and parents using agreed channels of communication (the school’s website, sports board and by email etc)
  • Arrange transport and catering when required
  • Assist with the organisation of day and overnight sports trips within Thailand and overseas
  • Provide cover within the sports admin team as required
  • Ensure the department area is a clean, welcoming and professional environment for staff and guests
  • Coordinate with relevant internal and external parties to ensure efficient and smooth arrangement of all activities as requested by line manager and senior staff
  • Be a point of contact for the school’s customers- parents, students and all school staff as well as external providers
  • Converse with all coaches regarding schedules, communication with parents and health and safety
  • Ensure that coaches complete team list tasks to given deadlines
  • Communicate and provide information by relevant methods internally and externally to assist and enable sports operations to run smoothly and provide effective service to customer groups
  • Be familiar with procedures available in the school crisis management documents and trip risk assessment booklets. To take part in responsibilities as requested by the school
  • Undertake any other related duties as required by the Director of Sport, Sports Administration Manager and members of the Senior Leadership Team

  • Excellent written and verbal communication in English and Thai
  • Strong problem-solving and analytical skills
  • Energetic and eager to develop professionally with good customer service skills
  • Excellent interpersonal skills, flexible, a positive attitude and a great team worker
  • Have excellent knowledge of computer packages Word, Excel, PowerPoint
  • Ability to work under pressure and to work without close supervision
  • Able to work during weekends as required
