Scope of Services:

The Operator/Receptionist reports to the HR Director and is responsible for in-coming and outgoing calls and assist HR administrative job.  His/her role is including greeting visitors, providing information, giving direction to visitors in the Central Office and the school and supporting HR administrative job including monitoring staff’s attendance record.

Duties and Responsibilities:

Receptionist:

• Greeting visitors
• Answering visitor inquiries about the school
• Direct visitors to appropriate contacts
• General administrative and clerical support
• Other duties as assigned

 Telephone:

• Services for all school in-coming and out-going calls including mobile and overseas calls
• Keep an update telephone lines and extension numbers
• Make sure all telephone system lines are functioning well daily
• Check monthly inbound/oversea telephone bills
• Work with Ed-Tech (IT) Dept. to control open/shut down telephone lines
• Report and coordinate with Ed-Tech (IT) Dept. when the telephone system is out of order
• Take a note/ get the message from incoming call when Admissions staff is not available

 Courier Services:

• Work with DHL as a Coordinator in sending all school packages and personal packages to support staff
• Checking monthly DHL bills to ensure the accuracy for payment

 Staff Attendance record:

• Key in daily leave forms of classified staff and submit to HR Director for approval
• Key in daily leave forms of certified staff on Calamari program (Leave application program)
• Key in monthly certified absence report
• Provide monthly attendance report of both certified and classified staff to HR Director
• Provide Attendance report by requester
• Register new classified staff to finger scan system (Key in staff details and keep finger print)
• Keep an update accurate staff working time in finger scan program
• Update staff leave record in Exit Form
• Confirm unused vacation to leaving staff
• Update Leave record according to school’s Leave Policy
• Other job as assigned by supervisor and/or school

Qualifications:

• Bachelor’s Degree in any field
• Good command of spoken and written English and Thai
• A minimum of 3-5 years of secretarial/receptionist experience
• Good command of computer literacy e.g. Google Doc, Word Processing, Microsoft Excel, etc.
• Excellent interpersonal skills
• Customer service oriented
• Knowledge of customer service principles and practices

Working Hours:     
         

• Monday – Friday (07:00 a.m. – 04:00 p.m.)
