Supporting local legal team in the day to day management of all of BayWa’s APAC operations;
Managing databases including company records and ensuring compliance with group policies;
Managing legal administration, including actioning invoice payment, filing, lodging documents, undertaking searches, preparing correspondence and arranging calls and meetings;
Amending and preparing correspondence and contracts using precedents including corporate records;
Amending templates and assist with the development of template documents;
Attending meetings, preparing, circulating, and coordinating the execution of agendas, minutes, and relevant other documents for board of directors’ meetings, and shareholders’ meetings of the BayWa r.e. group across the APAC region;
Ensuring that the directors’ / shareholders’ meetings conform to the relevant laws and regulations, the relevant company’s charter documents, and the internal policies and procedures of the BayWa r.e. group;
Coordinating the execution of application documents for the incorporation of new companies;
Coordinating the process(es) of any amendment applicable to the company, such as changes of registered address, new directors, changes of any registered particulars, etc.;
Identifying basic legal issues by understanding instructions and asking relevant questions;
Liaising with external service providers and actioning follow ups.
Bachelor's Degree or higher, Law degree a plus.
3+ years of prior experience in company secretarial functions.
Excellent interpersonal and time management skills.
Clear/professional and enthusiastic communication style (telephone and written).
Ability to multi-task, prioritize workloads and meet conflicting deadlines.
Able to adapt to continually evolving deadlines and ability to work in an environment of competing priorities.
Ability to work autonomously with a proactive approach to achieving desired results.
Have strong English skills in communication with excellent spelling and grammar.
Strong typing skills with high level of accuracy and attention to details.
Have good command of computer software and strong skill in Microsoft Word (Microsoft Office, Internet).
