JOB OVERVIEW AND RESPONSIBILITIES

• Executive Secretary will serve as the focal point in coordinating activities for the Managing Board and liaison with EA to CEO and their direct reports throughout the East-West Seed Group.
• Manage daily complex schedules and update appointments in the board of management calendars. Be “gatekeeper” role, prioritize meetings based on business and situation.
• Coordinate and organize meetings, conference calls, and other executive events such as logistic arrangements, food & coffee breaks requirements. 
• Attend meetings, take minutes and follow-up action points to get the results done in a timely manner. 
• Manage and update the contact database to maintain the relationship with key stakeholders both seed industry and non-seed industry. 
• Manage, plan budget and expenditures for the departments.
• Plan and organize travel arrangements and coordinate with local parties for the trip itinerary/program.
• Be faces of the company, you will receive board of management’s guests/ visitors and coordinate with other departments for a smooth process. 
• Maintains discretion and confidentiality in relationships with all board members and record confidential files and corporate board files both electronic and hard copies. 
• Anticipate their needs with a hands-on approach.
• Provides information and instructions to the Managing Board’s drivers.
• Ad-hoc projects or company events as assigned.

REPORTING & KEY STAKEHOLDERS 

• Reporting to the Executive Assistant to President & CEO
• Coordinating with the company leadership team, Supervisory Board,  EA and admins in other business units. 
• Employee will be based in the international headquarters in Nonthaburi, Thailand

• Strong in both oral and written English communication.
• Abilities to perform and prioritize multiple tasks seamlessly with excellent attention to detail. 
• Team-player, with the ability to work effectively and independently
• Able to handle multi-tasking, changes and able to deal with complex meeting appointments. 
• Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment. 
• Be proactive approaches to problem-solving with strong decision-making capability.

BACKGROUND & EXPERIENCE 

• Bachelor's degree required
• 5-7 years working experience supporting expatriate or C-Level Executives and preferably multinational companies. 
• Comfortable dealing with senior executives of all nationalities
