Job Description

WHY THIS ROLE?
Being Executive Secretary in a dynamic office environment is challenging. You are the focal point in coordinating activities for the Managing Board and liaison with their direct reports throughout the matrix organization. 

In the changing and dynamic working environment, we are looking for an Executive Secretary, a Business Partner to the Managing Board Members, who helps ease their workloads by providing the support, following through the actions, helping them prioritize their time, and ensure the activities go automatically and smoothly.

JOB OVERVIEW AND RESPONSIBILITIES

  • Executive Secretary will serve as the focal point in coordinating activities for the Managing Board and liaison with EA to CEO and their direct reports throughout the East-West Seed Group.
  • Manage daily complex schedules and update appointments in the board of management calendars. Be “gatekeeper” role, prioritize meetings based on business and situation.
  • Coordinate and organize meetings, conference calls, and other executive events such as logistic arrangements, food & coffee breaks requirements. 
  • Attend meetings, take minutes and follow-up action points to get the results done in a timely manner. 
  • Manage and update the contact database to maintain the relationship with key stakeholders both seed industry and non-seed industry. 
  • Manage, plan budget and expenditures for the departments.
  • Plan and organize travel arrangements and coordinate with local parties for the trip itinerary/program.
  • Be faces of the company, you will receive board of management’s guests/ visitors and coordinate with other departments for a smooth process. 
  • Maintains discretion and confidentiality in relationships with all board members and record confidential files and corporate board files both electronic and hard copies. 
  • Anticipate their needs with a hands-on approach.
  • Provides information and instructions to the Managing Board’s drivers.
  • Ad-hoc projects or company events as assigned.

REPORTING & KEY STAKEHOLDERS 

  • Reporting to the Executive Assistant to President & CEO
  • Coordinating with the company leadership team, Supervisory Board,  EA and admins in other business units. 
  • Employee will be based in the international headquarters in Nonthaburi, Thailand

QUALIFICATIONS

  • Strong interpersonal skills are essential with sensitivity for confidentiality
  • Strong in both oral and written English communication.
  • Abilities to perform and prioritize multiple tasks seamlessly with excellent attention to detail. 
  • Team-player, with the ability to work effectively and independently
  • Able to handle multi-tasking, changes and able to deal with complex meeting appointments. 
  • Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment. 
  • Be proactive approaches to problem-solving with strong decision-making capability.
  • Forward-looking thinker and street smart person, who actively seeks opportunities and proposes solutions. 
  • Ambitious, active and eager to learn new things.

BACKGROUND & EXPERIENCE 

  • Bachelor's degree required
  • 5-7 years working experience supporting expatriate or C-Level Executives and preferably multinational companies. 
  • Comfortable dealing with senior executives of all nationalities
