Job Description

Job Purpose:

To complete all sales related data entry, and interact with customers to provide and process information in response to inquiries, concerns, and requests in a timely, effective and professional manner ensuring total customers satisfaction at all times and meet organizational objectives.

Job Responsibilities:
  1. Monitor customer orders, recording details of inquiries, comments and complaints and recording details of action taken and handle for Logistic tasks.
  2. Ensure customers are top priority whether contact is by telephone, electronically or face to face.
  3. Excellent interpersonal skills with the ability to build strong long-term customer relationships.
  4. Ability to listen, handle and resolve all customer complaints in an empathic and professional manner.
  5. Respond promptly and effectively to all customer inquiries and interactions.
  6. Having the responsibility and authority to ensure customer requirements are met in the aspect of obtaining customer scorecards and interpreting the results as input for improvement actions.
  7. Responsibility includes periodical accessing information, downloading from and  uploading information to customer portals.
  8. Continually support customer service KPIs at all times.
  9. Key in data accurately, and in a timely manner to ensure all customer orders and invoices are processed with nil or minimal error.
  10. Communicate and coordinate with internal departments in a timely and professional manner.
  11. Be proactive, available and extremely reliable at all times to answer and/or direct requests and unsolved issues to the designated team or sales member ensuring customers remain top priority.
  12. File all necessary documents, EG: Invoices, orders on a daily basis.
  13. Coordinate with freight forwarder for import – export documents.
  14. Request and enter forecast data from key customers as required for business needs.
  15. Increase forecast accuracy by liaising with the customer on a regular basis.
  16. Sources customer delivery and metrics from key customers and report internally
  17. Investigate, monitor and report under target metrics in conjunction with warehouse and purchasing.
  18. Remain positive, accept and respect team member’s differences and pitch in and help out as you support a busy customer service team environment.
  19. Relief reception and answer overflow calls as required.
  20. Other general duties as directed by Management.

Job Qualification:
  1. Bachelor’s degree or higher in Marketing, Supply Chain, Business or Communication or similar field.
  2. At least 5 years of experience in Customer Service, Marketing and/or retail is preferred.
  3. Knowledge of customer service principles and practices.
  4. Strong interpersonal skills, including demonstrated experience of customer/supplier interaction.
  5. Understand the necessity of teamwork, initiative, influence, and business competency and negotiation skill.
  6. Attention to detail and accuracy, decision making, problem analysis and problem solving skills.6
  7. Ability to work within a busy team environment and extremely reliable and punctual.
  8. Good command of listening, spoken and written English and good organization skill.Proficiency in the Microsoft suite of applications.
  9. Knowledge of ISO 9001 and IATF 16949 preferred.
