Administrative Assistant and Receptionist

Primary functions:
Receives visitors and directs telephone calls; serves as petty cash custodian and purchases office stationery and kitchen supplies. Performs administrative duties and arranges travel to support office staff.
Duties and responsibilities:
- Greets and directs individuals to appropriate staff, meetings, or other activities.
- Answers, screens and refers telephone inquiries to appropriate staff members or departments. Accurately transfers or passes on messages to staff.
- Handles resupply and maintenance of routine office equipment (e.g., photocopier, printers, fax).
- Receives and distributes packages/mail/fax to appropriate staff. Maintains messenger log and checks outgoing packages/mail/fax.
- Maintains database of TREAT Asia and non-TREAT Asia phone numbers and addresses.
- Serve as petty cash custodian. Generates petty cash vouchers and supporting documents, (i.e., receipts and reports) to justify refilling of petty cash account.
- Processes purchasing of office’s stationery, staff name cards, kitchen supplies.
- Manages staff domestic and international travel arrangements, including but not limited to air tickets and airport transfers. Acts as a liaison with TREAT Asia travel agent(s) and event organizers.
- Provides administrative support for other office activities including but not limited to conference/meeting preparations, video and teleconferences.
- Provide additional administrative support to Director, Operations and other staff, as appropriate.
- Performs other miscellaneous job-related duties, as assigned.
Qualifications:
- One to Three years of experience as an administrative staff or receptionist.
- Working knowledge of switchboard operations and basic office systems, including experience with Microsoft Office programs (i.e., Outlook, Word, Excel and Power Point).
- Good to fluent spoken and written English language skills.
- Strong interpersonal and communications skills.
- Detail-oriented. Exhibits consistent judgment, flexibility, and discretion.
- Knowledge of HIV/AIDS issues preferred.
- Experience with domestic and international travel arrangements preferred.
